How do Cocoon's payroll calculations work?

During an employee’s leave, pay may come from a variety of sources (their employer, state benefits, and/or private short-term disability insurance). Cocoon’s software automatically identifies any benefits an employee is eligible for and guides them through the claims submission process. If you offer paid parental leave, Cocoon automatically calculates how much “top up” pay you owe each employee on leave by deducting the estimated benefits pay amount from their regular salary. We send this information to you via auto-generated pay files customized to your payroll system and pay calendar. 

Do I have to offer paid parental leave to use Cocoon?

No, though we strongly encourage companies to offer paid parental leave policies for both birthing and non-birthing parents. Check our Paid leave cost analysis tool to quantify the benefits of offering paid parental leave.

Do you handle parental leave compliance in all states?

Yes! You can rely on us for parental leave compliance across all 50 states. With ever-changing leave laws and an increasingly distributed workforce, using software to handle compliance is more critical than ever.

How does Cocoon handle extended pregnancy disability?

When planning a parental leave, birthing parents can plan up to four weeks of disability time pre-birth and six or eight weeks post-birth (depending on birthing method) without certification from their medical provider. Cocoon considers these timelines the “presumed period” of pre and post-birth disability, in line with many insurance carrier policies and state leave laws like California PDL. If an employee requires pre or post-birth disability time outside of these presumed periods, Cocoon will prompt them to request that time and complete a Serious Health Condition form. We’ll automatically share their leave request with you to review the information and approve or deny the extended time within Cocoon. In cases where they may not be eligible for any leave time under laws or your company policies, employees can also request leave as an accommodation under the Pregnant Workers Fairness Act (PWFA) right in Cocoon.

If employees plan leaves in private, how do you make sure they comply with our company policies?

Great question. During onboarding, you’ll work with our Onboarding Specialist to input your leave policies into our system. This includes parameters like tenure requirements, time available, pay, insurance plan, and more. When employees plan a leave, they fill in certain personal information (other things like tenure and salary we know from your census data) and our software checks that against your policies plus FMLA and applicable state leave laws to calculate eligibility and show employees their options. The result is an efficient, consistent, and reliable leave planning process that ensures compliance.

We get it—planning and taking leave can be overwhelming, often during an already challenging time for people. That’s why our CLMS-certified Support Team is there to support employees every step of the way should they need it. Employees have unlimited access to our team via email or phone calls for more complex needs. And because our software handles the most complicated leave tasks like calculating eligibility or payroll, our Support Team members are there solely to help employees, resulting in our industry-leading average response time of just a few hours.

How does Cocoon’s pricing work?

Cocoon charges an upfront annual per employee per year fee based on company size plus a one-time implementation fee, giving employers transparency and predictability into their annual costs. All leave types are included in Cocoon’s standard pricing. Check out our pricing page for more details.
